JOB DESCRIPTION:

Atlanta Technical College (ATC) is seeking highly qualified applicants for the Administrative Assistant II position in the Student Affairs department of the Academic and Student Affairs division. This position is located on Atlanta Technical College’s Main campus, just South of Downtown Atlanta.

The Administrative Assistance II for the Office of the Dean of Students is responsible to the Division Dean for data entry, clerical and secretarial duties. The Administrative Assistant II position will be expected to encourage and facilitate cooperation, pride, trust and group identity; foster commitment and team spirit; and work cooperatively with others to achieve goals of the

division. In addition, the Administrative Assistant II position must work and communicate with the general public, internal customers and/or external customers to provide information and quality services and/or products targeted to meet customer expectations. The Administrative Assistant II position is also expected to display a high level of effort and commitment to performing work and operating effectively within the organizational structure; and demonstrate trustworthiness and responsible behavior.

Job duties include, but may not be limited to, the following:

· Organize and prioritize tasks.

· Receive visitors, answer telephones and provide appropriate information and assistance to faculty and staff members, students, visitors and callers.

· Prepare Memos of Agreement for short-term personnel.

· Submit purchase orders and expedite leave requests and travel reimbursements.

· Maintain absentee reports for division faculty and staff members.

· Process monthly payroll for the division.

· Order and maintain office supplies.

· Process Incoming and outgoing mail.

· Establish and maintain electronic and general filing systems.

· Perform routine typing, word processing, and electronic data management tasks.

· Enter data into the Student Information System as needed.

· Use the student information system to input and access college data.

· Assist with data-gathering activities as necessary and appropriate.

· Keep the work area neat, clean, and clutter-free.

· Handle requests courteously and in a timely manner.

· Assist students and faculty during registration.

· Process new hire forms and documentation; and

· Perform additional duties, as assigned.

Competencies:

· Must demonstrate excellent customer service, clerical and technological skills.

· Must demonstrate excellent written and verbal communication skills.

· Experience with Office 365.

Minimum Qualifications:

Must possess and demonstrate a high school diploma or equivalent AND two (2) years of experience working in an educational setting or a business setting; OR Associate’s degree in business administrative technology and one (1) year of work related experience

Preferred Qualifications:

Preference may be given to candidates who, in addition to meeting the minimum qualifications, possess and demonstrate a Bachelor’s degree or higher in Business or a related field AND four (4) or more years of experience working in an educational or business setting. Experience with BANNER student information system is preferred.
